The challenge
A national retailer brought its leadership team to Columbus for a multi-day meeting. The brief: a guest experience that felt organized from the first airport arrival through the opening welcome reception — with none of the logistics showing.
Transportation was several challenges at once. Executives arrived individually at scattered times, while larger waves arrived on peak days. Guests were staying at more than one downtown hotel. And departures were spread among two days from three hotels.
The welcome reception had to generate excitement. It needed to bring the full leadership audience together in a convention-center space with enough energy and interactive moments to set the tone for the meeting.
The scope grew mid-planning. What began as a transportation program expanded to include producing the welcome reception itself.
What we delivered
Airport transportation planning. We matched vehicle types to traveler groups — black SUVs for individual executives, VIP transfers, mini-coaches for small groups and motorcoaches for peak arrival waves — scheduled across multiple arrival and departure days, with a single point of contact for the client.
Airport and hotel greeters. Greeters with branded signage met guests at baggage claim and in hotel lobbies, with staff on hand for motorcoach loading, so every handoff between airport, hotel and program was covered.
Welcome reception design and production. For the convention-center welcome reception, we coordinated custom linens, LED uplighting, floral centerpieces, a DJ and sound system, a custom hat activation, a mascot appearance, a golf simulator and a hockey-themed inflatable challenge.
Venue and experience strategy. Before the welcome experience was finalized, we presented downtown venue and activity options sized for a large leadership audience, including reception concepts and smaller off-site dinner formats.
Vendor coordination. We coordinated every transportation operator and event supplier under one program, with one point of contact for the client.
How we built it
We planned from real data, not a template. The transportation plan was built from the traveler manfiests and flights were tracked live the day-of using Meridian 360's custom software.
We treated it as one guest journey. Transportation and the welcome event weren't separate projects. Vehicle types were matched to traveler needs, guest-facing staff were placed at the moments that mattered most, and the flow ran continuously from curb to reception.
Trusted vendors delivered. Meridian 360 leveraged known vendors who could delivery the energy, ambiance and excitement the client wanted their attendees to remember.
The result
From the curb at the airport to the welcome reception, 1,500 leaders were met, moved and welcomed by one team — executives in SUVs, peak waves on coaches, a greeter at every handoff and a reception built to set the tone for the week.
The client's leadership never had to manage a vehicle.
The attendees enjoyed a memorable event leading into the big holiday retail season.
